ShineQuo Inc. ("ShineQuo," "we," "us," or "our") respects the privacy of the people who use and interact with our services.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information in connection with ShineQuo's websites, applications, student platform, coach and mentor platform, institutional administrative portal, coaching and mentoring services, peer community, assessments, resources, events, newsletters, integrations, and related products and services (collectively, the "Services").

This Policy applies to students, individual users, coaches, mentors, institutional administrators, website visitors, newsletter subscribers, event participants, and other people who interact with ShineQuo.

 

1. Our Role

How ShineQuo handles personal information may depend on how you receive the Services.

Direct Users

When you create a ShineQuo account directly, subscribe to our newsletter, attend a ShineQuo event, communicate with us, or otherwise interact directly with ShineQuo, ShineQuo generally determines the purposes and means of processing that information.

Institution-Sponsored Users

If you access ShineQuo through a college, university, employer, or another organization ("Institution"), that Institution may provide information to ShineQuo or determine certain purposes for which information is processed.

For some information, ShineQuo may act as a service provider or processor on behalf of the Institution under a separate agreement.

For other information necessary to operate ShineQuo's platform, maintain security, provide accounts, meet legal obligations, or manage ShineQuo's direct relationship with users, ShineQuo may process information for its own legitimate purposes.

Where an institutional agreement or data-processing agreement imposes additional protections on institution-provided information, ShineQuo will process that information in accordance with the applicable agreement.

 

2. Information We Collect

The information ShineQuo collects depends on how you use the Services.

Account and Contact Information

We may collect:

  • name;

  • email address;

  • phone number;

  • account username or identifiers;

  • password or authentication information;

  • communication preferences;

  • institution or school affiliation; and

  • other information required to create or manage an account.

Passwords are stored using appropriate security protections rather than in readable form.

Profile and Background Information

Depending on your account and the Services you use, we may collect information such as:

  • school or Institution;

  • area or level of study;

  • graduation year;

  • country or general location;

  • age or age range;

  • language preferences;

  • areas of interest;

  • goals;

  • areas in which you would like support or growth;

  • preferences for coaches or mentors; and

  • other profile information you choose to provide.

Coaching and Mentoring Information

If you use coaching or mentoring features, we may collect:

  • coaching goals;

  • coach-matching questionnaire responses;

  • booking notes;

  • session date, time, duration, status, and attendance information;

  • coach or mentor assignment;

  • session-related comments entered into ShineQuo;

  • action items;

  • coaching plans;

  • resources recommended through the platform;

  • feedback ratings;

  • feedback comments; and

  • other information you choose to provide through the coaching experience.

 

ShineQuo is a coaching and growth platform, not a healthcare provider. We do not ask users to provide medical records as part of the ordinary ShineQuo experience.

However, users may voluntarily describe personal experiences or circumstances in free-text fields, coaching conversations, community posts, or feedback. Where applicable law treats information you voluntarily provide as sensitive personal information, ShineQuo will handle that information in accordance with applicable law.

Please do not provide information that is unnecessary for the Service you are using.

Assessment and Questionnaire Information

We may collect your responses to:

  • coach-matching questionnaires;

  • self-assessments;

  • strengths or growth assessments;

  • reflection exercises;

  • goal-setting exercises;

  • surveys;

  • feedback forms; and

  • other diagnostic or developmental tools.

Unless expressly stated otherwise, these tools are developmental and educational rather than clinical diagnostic instruments.

Peer Community Information

If you participate in ShineQuo's community features, we may collect:

  • posts;

  • questions;

  • comments;

  • responses;

  • reactions;

  • reports;

  • moderation history;

  • timestamps; and

  • information associated with the account that created the content.

Where ShineQuo allows anonymous or pseudonymous posting, other community users may not see your account identity with the post.

However, ShineQuo may retain the technical association between the post and your account for moderation, safety, security, fraud prevention, legal compliance, and platform administration.

Anonymous posting therefore does not mean that content is technically untraceable within ShineQuo.

Coach and Mentor Information

For coaches and mentors, we may collect information such as:

  • name and contact information;

  • professional biography;

  • photograph;

  • education;

  • schools attended;

  • certifications or credentials;

  • coaching or mentoring experience;

  • areas of focus;

  • languages;

  • availability;

  • session history;

  • feedback;

  • onboarding information; and

  • information required by a separate coach, mentor, contractor, or program agreement.

Certain coach or mentor profile information may be displayed to students or other users as part of the matching and booking experience.

Institution-Provided Information

An Institution may provide information such as:

  • name;

  • institutional email;

  • student or program status;

  • eligibility information;

  • affiliation;

  • program or cohort information;

  • session-credit entitlement;

  • referral information; and

  • other information necessary to administer the Institution's ShineQuo program.

The exact information depends on the applicable institutional agreement.

Institutional Administrative Information

We may collect information concerning institutional administrators, including:

  • name;

  • business contact information;

  • title;

  • Institution;

  • administrative permissions;

  • reports accessed;

  • account activity; and

  • communications with ShineQuo.

Payment and Transaction Information

If you purchase Services, we may collect:

  • transaction amount;

  • purchase date;

  • service or credit purchased;

  • billing status;

  • refunds;

  • promotional codes; and

  • payment-transaction identifiers.

Payments may be processed by third-party payment providers.

Where payment information is entered directly into a third-party payment provider's interface, ShineQuo does not receive or store the complete payment-card number or card security code.

Session Credit Information

We may maintain:

  • credits purchased;

  • credits allocated by an Institution;

  • promotional credits;

  • credits used;

  • credits restored;

  • cancellation-related credit adjustments; and

  • other credit-history information.

Communications

We may collect communications you send to ShineQuo, including:

  • customer-support requests;

  • emails;

  • contact-form submissions;

  • survey responses;

  • event registrations;

  • partnership inquiries;

  • complaints;

  • safety reports; and

  • other correspondence.

Newsletter and Marketing Information

If you subscribe to a ShineQuo newsletter or marketing communications, we may collect:

  • email address;

  • name if provided;

  • subscription status;

  • signup source;

  • communication preferences; and

  • information about engagement with our communications where supported by our communication provider.

Technical and Usage Information

When you use our website or platform, we may automatically collect information such as:

  • IP address;

  • browser type;

  • device type;

  • operating system;

  • approximate location derived from IP address;

  • referring page;

  • pages or features accessed;

  • date and time of access;

  • navigation activity;

  • session information;

  • error and diagnostic information;

  • login activity; and

  • other technical identifiers.

We may use analytics tools, including tools such as PostHog, to understand how users interact with ShineQuo and improve the Services.

Cookies and Similar Technologies

ShineQuo and our service providers may use cookies and similar technologies for purposes such as:

  • authentication;

  • security;

  • remembering preferences;

  • website functionality;

  • analytics;

  • measuring engagement; and

  • understanding how visitors find and use ShineQuo.

You may be able to control certain cookies through your browser settings or cookie-management tools where available.

Disabling necessary cookies may prevent portions of the Services from functioning correctly.

 

3. Where We Obtain Information

We may obtain information:

  • directly from you;

  • from your Institution;

  • from a coach or mentor;

  • from another authorized user acting at your direction;

  • automatically from your browser or device;

  • through third-party services you choose to connect;

  • from payment or transaction providers;

  • from forms, surveys, events, or programs;

  • from publicly available sources where appropriate; and

  • from service providers acting on ShineQuo's behalf.

 

4. How We Use Personal Information

We may use information to:

Provide the Services

Including to:

  • create and administer accounts;

  • determine eligibility;

  • match users with coaches or mentors;

  • schedule sessions;

  • facilitate coaching and mentoring;

  • maintain session credits;

  • provide assessments, tools, and resources;

  • operate community features;

  • maintain institutional programs;

  • provide user support; and

  • provide other requested functionality.

Personalize the Experience

We may use information about goals, preferences, questionnaire responses, activity, and previous use of ShineQuo to recommend coaches, resources, actions, content, or features.

Communicate With You

We may send:

  • account notices;

  • booking confirmations;

  • reminders;

  • rescheduling or cancellation notices;

  • security messages;

  • institutional-program communications;

  • requested support responses;

  • product notices; and

  • marketing communications where permitted.

Operate AI Features

We may process ShineQuo-entered information through the AI features described below.

Provide Institutional Services

Where you receive ShineQuo through an Institution, we may process information to:

  • verify eligibility;

  • administer institutional access;

  • allocate or manage session credits;

  • manage referrals;

  • calculate utilization metrics;

  • prepare aggregate reporting;

  • support implementation;

  • address platform issues; and

  • perform services required under the institutional agreement.

Moderate and Protect the Community

We may use content, account data, automated filters, reports, and related information to:

  • enforce community rules;

  • review reported content;

  • prevent spam or abuse;

  • protect users;

  • maintain platform integrity; and

  • investigate suspected violations.

Improve ShineQuo

We may analyze usage and feedback to:

  • understand how Services are used;

  • identify product issues;

  • improve user experience;

  • develop new features;

  • evaluate platform effectiveness; and

  • improve operations.

Where practicable, we may use aggregated or de-identified information for these purposes.

Maintain Security

We may process information to:

  • authenticate users;

  • prevent unauthorized access;

  • investigate suspicious activity;

  • prevent fraud;

  • monitor security;

  • diagnose technical problems; and

  • protect ShineQuo, our users, and our partners.

Comply With Law

We may process information where reasonably necessary to:

  • comply with legal obligations;

  • respond to valid legal process;

  • establish or defend legal claims;

  • enforce our agreements;

  • investigate unlawful conduct; and

  • protect rights, property, or safety.

 

5. Coaching Information and Confidentiality

ShineQuo recognizes that users may share personal information during the coaching experience.

We limit access to coaching-related information based on the user's role, the feature being used, operational need, applicable institutional agreements, and applicable law.

Coaching information may be used to:

  • facilitate the coaching relationship;

  • match students and coaches;

  • support continuity between sessions;

  • generate action items;

  • recommend relevant resources;

  • operate AI-assisted coaching features;

  • administer sessions;

  • investigate safety or platform issues; and

  • perform other functions described in this Policy.

Coaching communications are not necessarily covered by healthcare-provider, psychotherapist, attorney-client, or other professional evidentiary privilege.

6. Institutional Reporting and Student Information

Institutions using ShineQuo may receive information needed to administer their program.

The information available to an Institution depends on its agreement with ShineQuo and the administrator's permissions.

ShineQuo's standard institutional analytics may include information such as:

  • number of eligible or activated users;

  • number of coach-matching forms submitted;

  • number of sessions booked;

  • repeat bookings;

  • average or maximum sessions per user;

  • average intervals between sessions;

  • session-topic distributions;

  • program utilization;

  • available or used credits;

  • aggregate feedback ratings; and

  • anonymized or aggregated feedback insights.

The AI-generated institutional summary described below is based on aggregate or anonymized ShineQuo information and does not include student names or email addresses as AI input.

Certain operational, referral, eligibility, safety, moderation, or account information may be available to authorized institutional personnel when permitted by the institutional agreement, this Policy, and applicable law.

Institutional sponsorship of ShineQuo does not automatically give an Institution unrestricted access to every piece of information a student provides to ShineQuo.

 

7. FERPA and Education Records

The Family Educational Rights and Privacy Act ("FERPA") may apply to certain information when ShineQuo provides services to a covered educational Institution.

Where ShineQuo receives personally identifiable information from education records as a contractor or service provider to an Institution, ShineQuo will process that information in accordance with applicable law and the relevant institutional agreement.

Where an Institution relies on FERPA's school-official exception, ShineQuo's institutional agreement is intended to address requirements governing the permitted purpose, use, maintenance, control, and redisclosure of covered information.

In some circumstances, the Institution rather than ShineQuo determines whether information may be disclosed, corrected, accessed, or deleted.

Where applicable, students may need to exercise FERPA rights through their Institution.

 

8. Artificial Intelligence Features

ShineQuo uses artificial intelligence in a limited number of features.

AI Provider

ShineQuo currently uses the Google Gemini API for AI-generated text features.

ShineQuo uses Gemini to process the information necessary for the features described below.

ShineQuo does not use personal information submitted through these features to train a ShineQuo generalized AI model.

For production use configured as a paid Gemini API service, Google's applicable terms state that prompts and responses are not used to improve Google's products. Google's processing, security, abuse-prevention logging, and other obligations remain governed by the applicable Google terms and data-processing arrangements.

Coaching Suggestions

After a coaching session, ShineQuo may generate suggested action items or a coaching plan.

Inputs may include:

  • the student's ShineQuo profile;

  • stated goals;

  • responses to ShineQuo's coach-matching questionnaire;

  • the student's booking note;

  • comments entered by the coach in ShineQuo after a session; and

  • previously generated action items stored in ShineQuo.

AI output is intended to support the coaching experience and may be reviewed, edited, rejected, or supplemented.

Institutional Statistics Summaries

Authorized institutional users may use an AI feature to generate written summaries of aggregate program engagement.

Inputs may include:

  • number of matching forms submitted;

  • sessions booked;

  • number of users who booked more than once;

  • average or maximum sessions per user;

  • average number of days between sessions;

  • aggregate feedback ratings;

  • anonymized free-text feedback submitted through ShineQuo; and

  • distribution of sessions across coaching topics.

Student names, email addresses, and other direct student identifiers are not included in the AI input for this institutional-summary feature.

AI Limitations

AI-generated content can be incomplete, inaccurate, or inappropriate.

It should be reviewed by an appropriate person before being relied upon.

AI-generated coaching suggestions and institutional summaries do not independently determine academic standing, discipline, admissions, employment status, institutional eligibility, or another decision producing legal or similarly significant effects.

 

9. Google Account Integration

ShineQuo offers an optional integration with Google Calendar and Google Meet so coaching sessions can be scheduled on a coach's connected Google calendar and joined through a video meeting.

This integration is intended for coaches and is optional.

Google Permissions

When a coach chooses to connect a Google account, ShineQuo may request the following Google permissions:

Google Calendar Events

Allows ShineQuo to create, update, and delete the calendar event associated with an accepted ShineQuo coaching session, invite the student, and update or remove the event when the session is rescheduled or cancelled.

Google Calendar Read-Only

Technically permits calendar-event access. ShineQuo's application logic is designed to use this access to retrieve the specific ShineQuo-created session event so supported changes made by the coach—such as a changed time, cancellation, or RSVP status—can be reflected in the ShineQuo booking.

ShineQuo does not use this permission to build a copy of the coach's calendar or to analyze unrelated calendar events.

Google Meet Space Creation

Allows ShineQuo to create the Google Meet space used for the ShineQuo session.

How We Use Google Data

ShineQuo uses Google account information for the limited purpose of keeping the ShineQuo session booking and its corresponding Google event synchronized.

We may:

  • create the relevant session event;

  • add the participating student as a guest;

  • update the event when the booking changes;

  • delete or cancel the event when appropriate;

  • read the ShineQuo-created event to detect supported changes made by the coach; and

  • create the associated Google Meet link.

The ShineQuo booking record remains ShineQuo's primary record for the session.

Google Data We Store

To operate the integration, ShineQuo may store:

  • Google OAuth access and refresh tokens;

  • the Google identifier associated with a ShineQuo-created event;

  • scheduled session information; and

  • the Google Meet joining link.

OAuth tokens are protected using appropriate encryption and access controls.

We do not create or maintain a copy of the coach's unrelated calendar.

What We Do Not Do With Google Workspace Data

ShineQuo does not use Google Workspace data for:

  • advertising;

  • marketing;

  • behavioral profiling;

  • institutional analytics;

  • benchmarking;

  • credit decisions;

  • unrelated product features; or

  • generalized AI or machine-learning training.

No Google Workspace information is submitted to Google's Gemini API or another AI/ML provider as input to ShineQuo's AI features.

This includes calendar-event content, event titles, event descriptions, attendee lists, RSVP information, calendar identifiers, and meeting information.

ShineQuo does not request Google Photos permissions and does not request access to Gmail, Google Drive, Google Contacts, or Google Photos through this integration.

Google Limited Use Disclosure

ShineQuo's use and transfer of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Disconnecting Google

A coach may revoke ShineQuo's access through the permissions settings of their Google account and, where available, through the relevant ShineQuo integration control.

When the integration is disconnected, ShineQuo will no longer use the stored authorization tokens to access Google.

ShineQuo will delete or disable the applicable authorization credentials in accordance with our operational procedures and applicable law.

Calendar events that already exist within the coach's Google Calendar may remain there and can be managed directly by the coach.

 

10. When We Share Information

ShineQuo does not disclose personal information indiscriminately.

We may disclose information in the following circumstances.

Coaches and Mentors

We may provide a coach or mentor with information necessary to prepare for and provide the student's ShineQuo experience, such as:

  • name or account information where required for the session;

  • goals;

  • coach-matching responses;

  • booking notes;

  • previous ShineQuo action items where applicable;

  • session information; and

  • other information necessary for the coaching relationship.

Institutions

We may provide information to an Institution as described in the "Institutional Reporting and Student Information" and "FERPA and Education Records" sections of this Policy and the applicable institutional agreement.

Other Community Users

Information that you intentionally submit to community spaces may be displayed to other users according to the applicable community feature and privacy setting.

Service Providers

We use companies that perform functions for ShineQuo, such as:

  • cloud hosting and infrastructure providers, including Amazon Web Services;

  • Google Calendar and Google Meet API services;

  • Google Gemini API for the AI functions described above;

  • product analytics providers, including PostHog;

  • website and technology providers;

  • email and communication providers;

  • payment processors;

  • authentication and security providers; and

  • other vendors necessary to operate the Services.

These providers may access information only as necessary to perform services for ShineQuo and subject to applicable contractual and legal restrictions.

Legal, Security, and Safety Reasons

We may preserve, access, or disclose information if we reasonably believe doing so is necessary to:

  • comply with applicable law;

  • respond to a subpoena, court order, or other valid legal process;

  • investigate fraud, abuse, or security incidents;

  • enforce our agreements;

  • protect ShineQuo's rights or property;

  • protect users or other people;

  • address serious safety concerns; or

  • cooperate with authorities where required or legally permitted.

Business Transactions

If ShineQuo is involved in a merger, acquisition, financing, corporate restructuring, bankruptcy, sale of assets, or similar transaction, information may be disclosed or transferred as part of that transaction subject to applicable law and appropriate confidentiality protections.

At Your Direction

We may disclose information when you ask or authorize us to do so.

 

11. Aggregated and De-Identified Information

We may create aggregated, statistical, or de-identified information that is not reasonably intended to identify a particular individual.

We may use such information to:

  • understand engagement;

  • improve the Services;

  • evaluate programs;

  • conduct business analysis;

  • prepare institutional reporting;

  • conduct research or benchmarking;

  • develop product strategy; and

  • communicate general trends.

We will not intentionally attempt to re-identify information that has been properly de-identified except where permitted by law for security, testing, or validation purposes.

12. Sale, Sharing, and Advertising

ShineQuo does not sell Google Workspace user data.

ShineQuo does not sell coaching-session content to data brokers or advertising companies.

ShineQuo does not use Google Workspace data or coaching content for targeted advertising.

ShineQuo may use analytics and marketing technologies in connection with its public website and marketing activities.

Some privacy laws use terms such as "sale," "sharing," or "targeted advertising" broadly enough to cover certain disclosures involving advertising or analytics technology even where no money is exchanged.

Where applicable law gives you the right to opt out of such processing, ShineQuo will provide a mechanism to exercise that right.

 

13. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to:

  • provide the Services;

  • maintain accounts;

  • support the coaching relationship;

  • administer institutional programs;

  • maintain transaction or credit history;

  • comply with contractual obligations;

  • resolve disputes;

  • prevent fraud or misuse;

  • maintain security;

  • satisfy legal obligations; and

  • establish or defend legal claims.

Retention periods may differ depending on the type of information and the relationship under which it was collected.

For example:

  • Google authorization tokens are retained only while necessary for the connected integration and are removed or disabled when access is revoked in accordance with our procedures;

  • session and account records may be retained while the account is active and for an appropriate period afterward;

  • institutional information may be subject to the applicable institutional agreement;

  • content involved in a legal, safety, fraud, or security matter may be retained while the issue remains relevant;

  • backup copies may remain temporarily after deletion until overwritten through normal backup cycles; and

  • properly de-identified or aggregated data may be retained for longer periods because it no longer identifies an individual.

 

14. Account and Data Deletion

You may request deletion of your ShineQuo account or eligible personal information.

Deletion may not be immediate or absolute where ShineQuo must retain information because of:

  • legal requirements;

  • contractual obligations;

  • institutional requirements;

  • security or fraud prevention;

  • unresolved disputes;

  • financial or transaction records;

  • safety investigations; or

  • another lawful retention requirement.

Where ShineQuo processes data solely on behalf of an Institution, we may refer your request to that Institution or act on its instructions.

Deleting a ShineQuo account does not necessarily delete information stored independently by another service, such as an event already created in your Google Calendar.

 

15. Security

ShineQuo uses administrative, technical, and organizational measures designed to protect information against unauthorized access, disclosure, alteration, destruction, or loss.

Depending on the data and system, safeguards may include:

  • encrypted network connections;

  • encryption of appropriate stored information;

  • authentication and access controls;

  • role-based access;

  • logging and monitoring;

  • cloud infrastructure security controls;

  • restricted administrative access;

  • secure development practices;

  • vendor-management processes; and

  • security procedures for personnel with access to personal information.

ShineQuo uses cloud infrastructure providers, including Amazon Web Services, to support the platform.

No online system can guarantee absolute security. You are also responsible for protecting your account credentials and devices.

If you believe your ShineQuo account or information has been compromised, contact us promptly.

16. Your Privacy Choices

Depending on your relationship with ShineQuo and applicable law, you may be able to:

  • access personal information we maintain about you;

  • correct inaccurate information;

  • update your profile;

  • request deletion;

  • request a copy of certain information;

  • withdraw certain consents;

  • unsubscribe from marketing;

  • disconnect an integration;

  • object to or restrict certain processing;

  • opt out of qualifying targeted advertising, sale, or sharing; and

  • appeal certain privacy-request decisions where required by law.

These rights are subject to legal exceptions.

We may need to verify your identity before completing a request.

We will use information provided in connection with a privacy request only as reasonably necessary to process and document the request.

Authorized agents may submit requests on behalf of individuals where applicable law permits, subject to appropriate verification.

We will not unlawfully discriminate against a person for exercising an applicable privacy right.

 

17. U.S. State Privacy Rights

Residents of certain U.S. states may have privacy rights under state law.

Depending on the jurisdiction and whether the applicable law applies to ShineQuo, these rights may include:

  • knowing or accessing categories or specific pieces of personal information;

  • correcting personal information;

  • deleting personal information;

  • obtaining portable copies of information;

  • opting out of targeted advertising;

  • opting out of the sale or sharing of personal information;

  • limiting certain uses of sensitive personal information;

  • opting out of certain forms of profiling; and

  • appealing a denied privacy request.

Rights and exceptions vary by state.

A privacy request may be submitted through the contact method identified below.

18. International Users

ShineQuo is based in the United States.

If you access ShineQuo from another country, your information may be processed in the United States or another jurisdiction where our service providers operate.

Data-protection laws in those jurisdictions may differ from the laws where you live.

Where the European Economic Area, United Kingdom, or another jurisdiction's data-protection law applies, ShineQuo will rely on an applicable lawful basis for processing, which may include:

  • performance of a contract;

  • legitimate interests;

  • consent;

  • compliance with legal obligations; or

  • protection of important rights and interests.

Where required, ShineQuo will use an appropriate lawful mechanism for international transfers.

Eligible users may have rights including access, correction, deletion, restriction, objection, portability, withdrawal of consent, and the ability to lodge a complaint with the relevant data-protection authority.

 

19. Information About Minors

ShineQuo is not directed to children under 13.

We do not knowingly collect personal information directly from children under 13 in circumstances prohibited by applicable law.

If you believe a child under 13 has provided personal information to ShineQuo without appropriate authorization, please contact us.

Users who are under the age of majority but meet ShineQuo's minimum eligibility requirements should use ShineQuo only with any parent, guardian, or institutional authorization required by applicable law.

 

20. Marketing Communications

You may receive marketing communications from ShineQuo when you subscribe to our newsletter, register for an offering where appropriate consent is obtained, or otherwise choose to receive such communications.

Marketing messages may include information concerning:

  • ShineQuo resources;

  • events;

  • webinars;

  • programs;

  • product updates;

  • student opportunities;

  • partner opportunities; and
